Schedule:  Full Time – M-F – 8:00 a.m. – 4:00 p.m.

POSITION SUMMARY

The Project Manager for the School of Theology and Philosophy will provide project management and administrative support for the School, including the Dean and Department Heads. Coordinate with the Office of Personal Vocation, Career Services, and the Alumni Office to manage internships, practicum, and job opportunities. Directly manage SWOP workers, direct Graduate Assistants, and provide oversight for those providing administrative support in daily operations. Use data analytics to help assess programs and courses within the School, provide support for the Institutional Review Board (IRB), accreditation projects, and associated committees and boards as they relate to the School. Plan academic conferences; coordinate thesis and comprehensive exams; serve on committees; act as a liaison with Admissions, Marketing & Communications, and other departments of the University.

 

PRIMARY RESPONSIBILITIES

·         In conjunction with the Dean and faculty, coordinate and manage internship programs within the school. Have regular meetings with the Directors of the Offices of Personal Vocation, Alumni, and Career Services to identify, facilitate, evaluate, and manage new internship or practicum opportunities. Assist Career Services with the annual New Alumni Survey.

·         Work with the school Dean to compile and analyze data, and generate reports regarding program retention, student success, and student graduation plans. Provide support and information as requested for IRB, accreditation projects, and other associated committees and boards.

·         Coordinate with Admissions to ensure accurate information regarding School programs are communicated to prospective students. Coordinate with Marketing & Communications to ensure the appropriate representation of programs is always current across all print and digital media sources.

·         Collaborate with Dean, Faculty, and all related departments to ensure the timely and efficient transmission of interdepartmental information, University-wide initiatives, and student-facing work is managed appropriately.

·         Manage building room scheduling for faculty and staff, coordinating thesis and comprehensive exams, and assist with planning academic conferences and events.

·         Attend to fiscal needs of the School, including purchasing supplies, completing requisitions, submitting monthly purchasing card reports, and reconciling departmental budgets.

·         Oversee and hire SWOP workers who will provide secretarial support for all faculty and staff within the School, including filing, typing, word processing, database management, photocopying, receiving messages, handling mail and other tasks as needed.

REQUIREMENTS

Work Experience

·         3-5 years of relevant work experience

·         Ability to execute programs of low – medium complexity with minimal supervision

·         Demonstrated experience with facilitating strong collaborative/communication across departments

·         Strong competency in customer focus (both internal and external) to ensure program objectives meet the needs

 

Competencies

·         Must understand and support the mission of the University

·         Demonstrate excellent organizational skills with the ability to prioritize and meet deadlines

·         Communicates accurately and effectively particularly with constituents outside of the University

·         Ability to work independently to accomplish projects, handle confidential and sensitive material with discretion

·         Strong interpersonal skills, work well under pressure, provide professional customer service to all University constituents

 

Education/Credentials

·         Bachelor’s Degree; and academic formation in a field relevant to the work of the position

 

Technical Skills

·         Experience in customer service and event planning with attention to detail

·         Proficiency with Microsoft Office Suite, Microsoft Teams, and adoption of new technologies

·         Excellent oral and written communication, writing/proofreading ability

 

Workplace Factors:

·         Ability to work in front of a computer screen for extended periods of time

·         Lifting, carrying, pushing, pulling 25 pounds

·         May need to respond to administrative or technical issues during off hours and weekends
