Payroll/Benefits Coordinator

Under the guidance of the Director of Human Resources, the Payroll/Benefits Coordinator carries out responsibilities in the following functional areas: benefits administration, payroll support, managing the time clock system, and employment and payroll law compliance. The coordinator must be sensitive to serving the University needs with the objective of supporting administration and employee goodwill.

Candidates will be invited to demonstrate a willingness to support the Christian, Catholic, Benedictine mission of the University of Mary.

Essential Roles and Responsibilities Include:

• Processes payroll and acts as back up to the Director of Payroll. Manages data from electronic time clock system. Contacts employees and supervisors regarding any missed punches. Data entry input all payroll changes for employee and create records for new hires. Answers employee questions and gives guidance on payroll and benefits policy.
• Benefits Administration: Monitors employee eligibility for benefits plans. Reviews benefits with employees and processes enrollment, cancellation, or changes. Supports annual open enrollment election process in collaboration with USI and WPS partners. Maintains WPS system with new and cancelled employees. In collaboration with the Business Office, verifies benefit billing accuracy and processes for payment; Partners with COBRA administrator to provide termed employee data for group health plan notifications.
• Maintains human resource information system records and compiles reports from the database (Jenzabar, Balanced Comp, WPS benefits enrollment portal, timekeeping system). Works with HR regarding FMLA and other leave of absences for employees.
• Maintains compliance with federal, state and local employment and benefits laws and regulations; Assists with employee personnel files as necessary; Ensures compliance with USCIS Form I-9 Employment Eligibility Verification; periodically audits Forms I-9.
• Assist in maintaining payroll records and filing and verifications of employment.

Desired Minimum Qualifications, Education, and Experience include:

• Required: Associates degree in human resources, accounting or other related field
• Preferred: Bachelor’s degree in human resources, accounting or other related field. FPC or CPP payroll certification.
• Required: Two or more years of payroll and/or benefits or related experience. Strong proficiency in Microsoft Office, especially Excel.
• Preferred: Five or more years’ experience; proficiency with HR management/payroll systems or similar technology
• Upholds and supports the Christian, Catholic, Benedictine mission of the University of Mary
• Supports the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities
• Builds a culture of ready and earnest hospitality in the Office of Human Resources and throughout the university, in accord with Saint Benedict’s admonition that all be received as Christ

Knowledge and Skills Required:

• High level of attention to detail and accuracy in all aspects of work
• Demonstrated knowledge of applicable laws, regulations, and policies related to human resources and payroll
• Ability to relate and communicate with all levels of employees through excellent listening and communication skills that engender trust and support
• Ability to work well both independently and as part of a team
• Ability to maintain confidentiality
• Ability to research and analyze various types of data information
• Ability to organize and prioritize work
• Demonstrated experience/maturity to handle confidential and sensitive information
