Assistant Registrar – Degree Audit and Transfer Credit

Office of the Registrar

The Assistant Registrar – Degree Audit and Transfer Credit is responsible to the Registrar and will assume the duties of the Registrar in conjunction with the Senior Assistant Registrar – Scheduling and Enrollment in his/her absence. This individual will audit student records to ensure that all degree requirements have been met by graduating students. This position will ensure the accuracy of transfer credit evaluations for students. This individual will be responsible for building and maintaining the Academic Advising and Transfer Credit modules for programs in PeopleSoft.

Essential Duties and Responsibilities Degree Audit/Graduation
Update students, faculty, and staff regarding current graduation policies and
Communicate with and assist students filing for graduation, providing a summary of progress in degree completion and to confirm that all university requirements have been met.
Monitor receipt of and input substitutions and exemptions as
Post the conferral of degrees to all eligible student
Order and manage the preparation of diplomas and certificates for
Utilize the PeopleSoft Academic Advisement module to support degree audit activities online, as well as track status of graduation correspondence.
Maintain an ongoing communication with the Registrar, Director of Academic Advising & Enrollment Services, deans, and department chairs in the development and maintenance of the Academic Advisement
Transfer Credit
Update students, faculty, and staff regarding current transfer credit policies and
Coordinate the evaluation of transfer and test credit and the entry of that credit into student records in PeopleSoft.
Image incoming transcripts and route through the proper workflow into
Build and maintain the transfer equivalency table and other functionality in the
Transfer Credit modules in PeopleSoft.

Assist Enrollment Specialist with 12th day file
Regularly update university information on Texas Common Course System
Additional Duties and Responsibilities
Plan and perform staff/student training and testing of software as
Assist the Registrar’s Office during peak registration periods, commencement, and at other times as required.
May be required to work weekend/evening hours during peak
Other duties as
Supervisory Responsibilities
Student workers as needed.

Knowledge and Skills Required
Bachelor’s
Strong interpersonal written and verbal
Ability to work in a team environment with a focus on customer
Ability to handle multiple tasks under minimal
Self-motivated, a proactive problem solver, and willing to learn new skills as
Basic knowledge of FERPA and related regulations/issues in higher
Proficiency in MS Office; PeopleSoft Student Administration, and Slate experience a plus.
