Assistant Director of Graduate Admissions Operations
The University of St. Thomas (www.stthom.edu), a private Catholic university, located in Houston, Texas, the nation’s fourth largest city, committed to the liberal arts and to the religious and intellectual tradition of Catholic higher education, is seeking an Assistant Director of Graduate Admissions Operations. The position reports directly to the Assistant Vice President of Program Marketing.
The Assistant Director of Graduate Admissions Operations provides leadership, direction, vision, solution creation and guidance to the operations team for the day-to-day collection and processing of prospective student data, documents and related items as needed for the successful admission and enrollment to UST. The Assistant Director of Graduate Admissions Operations and team will serve the student population needs of the graduate student population and other special student types as needed. The position is predominantly tactical and provides strong leadership in streamlining the student experience across all populations as it pertains to operations activity in processing, imaging, uploading, importing supporting items for student records.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Supervise the graduate admissions operations activities, functions, and staff.
Identifies challenges and barriers in the collection and processing of student documents and supporting items necessary for admission application evaluation and review. Proposes solutions to such challenges in efficiency and implements change management where appropriate.
Leverages the use of the university wide CRM (Hobsons Radius moving towards Technolutions Slate) and SIS (Peoplesoft) to ensure operational efficiency for any university stakeholder.
Trains and evaluates all frontline operations staff in the use of technological innovation that the university is using for operational processing. Is responsible for the collective success of the operations team.
Oversees operational activities which include but are not limited to:Mass mailings of student collateral, letters, etc.
Generation of official admission correspondence to prospective students such as admission letters and packets, admission denials, missing items notification, etc.
The incumbent will help to set goals and expectation for optimal performance of all members of the operations team to ensure timely turnaround of funnel communication at all levels for prospective students in addition to functioning as an active team member with his/her own responsibilities within the operations team.
The incumbent will be a champion for professional development of all operations team members.
Ensures a high standard of operational activities that promote data hygiene, data integrity, standardization and best practices in admission operations units.
Serve on University committees as assigned.
Minimum of 3 years of experience in Enrollment Management settings or a data analytics position required. Prior experience working in graduate admissions operations preferred.
Minimum of 1 year of experience in a supervisory role providing effective leadership and direction.
Effective oral and written communication skills combined with a high level of energy and the ability to thrive in a fast-paced environment.
Established record of meeting and exceeding deadlines and operating with a sense of urgency.
High level of desktop computer skills including being proficient in Excel, Word, and PowerPoint.
Thorough understanding of admission CRMs and related software, data, and research preferred. Preference given to candidates with experience in Technolutions Slate, Campus Management, Sales Force and Ellucian Recruiter.
Willingness to travel for training and conference attendance purposes.
Some work in the evenings and weekends may be necessary.
