Position Reports to:  Associate Director of the Wellness Center

FLSA Status:  Non-exempt

Schedule:  Monday – Friday; full-time during the academic year and part-time during summers


Details: 35 hours per week for 35 weeks of the academic year plus 2 days per week in the summer

(5 weeks off between Fall and Spring semesters)

Under supervision, the secretary greets and schedules all people for appointments with the doctor, nurse practitioner, nurse, and counselors; gives information to all walk-in patients; greets all visitors; receives and routes phone calls; and accepts all forms of payment for services.  This position handles confidential medical records, therefore patient confidentiality and privacy must be maintained at all times.



1.     Receives and directs all phone calls to the department or takes messages.

2.     Creates and maintains health records for all students and other patients and prepares files for daily appointments.

3.     Collects fees for all services given to patients.

4.     Receives and routes all mail to appropriate staff members.

5.     Types letters, faxes information and prepares drafts of statistical reports.

6.     Orders dept. supplies and reconciles the purchase card balance monthly.

7.     Refers all questions about healthcare or mental health inquiries to the proper staff members.

8.     Greets all patients and other visitors to the dept. and directs them to the appropriate staff member.

Work Experience

·         2-3 years secretarial experience

·         Experience working in a medical office preferred



·         Customer/Service Focus: Excellent customer service skills; ability to interact with a wide variety of people; Quickly and accurately interprets customer’s needs and recommends optimal solutions; Thinks and acts with the customers’ interests in mind; displays a strong service orientation.

·         Dealing with Ambiguity: Readily adjusts to changing circumstances or new situations.

·         Interpersonal Skills: Relates well to all people above, below, at a peer level, inside and outside of the organization.

·         Quality of Work: Consistently checks work for accuracy, appropriateness, and completeness.

·         Verbal Communications: Uses effective speaking and listening techniques to ensure clear and actionable communications.

·         Written Communications: Effectively identifies and organizes the key points needed for an effective written communication; checks work for style, spelling and grammar errors; ensures readability.



·         High school or G.E.D. required.

·         Undergraduate, Trade or Technical school desired.


Technical Skills

·         Proficient in Microsoft Office Suite (Word, Excel, etc.).

·         Good math skills for handling payments.

·         Ability to respect patient confidentiality and privacy in all interactions.

·         Ability to work in a multifaceted fast-paced environment.


Workplace Factors

·         Sitting or standing at workstation for hours at a time.
