Administrative Assistant / Occupational Therapy


The Administrative Assistant provides professional administrative support services for the Occupational Therapy department in the Saint Gianna School of Health Sciences. The Administrative Assistant will maintain a professional, and service-oriented office environment, communicating with internal and external guests at the student, department, university, and the public. This is a 10-month appointment, not being scheduled to work during June and July.


Candidates will be invited to demonstrate a willingness to support the Christian, Catholic, Benedictine mission of the University of Mary.


Essential Roles and Responsibilities Include:


• Provides a consistent coverage of the office area via telephone, email and physical presence. Communicates with distance sites to provide effective interaction between sites.

• Reviews and assists faculty with all activities in CAS including prioritizing, tracking, and email communication. Create interview schedule and assist with hospitality and organization of interview day.

• Assist the clinical coordinator/ academic fieldwork coordinator as assigned with developing, sending, tracking forms and letters. Other tasks associated with fieldwork as requested by the clinical coordinator/ Academic Fieldwork Coordinator.

• Schedule pro-bono clinic patients as requested; provide hospitality to clients.

• Coordinates events for SGSHS such as orientation and graduation hooding ceremony; Academic Advisory Meetings, clinical education credentialing courses and coordinating the annual SGHS research colloquium.

• Assist in gathering and preparation of accreditation documents; schedule rooms for onsite reviewers; meet with reviewers as requested; provide hospitality.

• Attend department meetings and record the minutes. Process all internal reimbursement forms and maintenance requests. Routes the mail. Prepares memos and correspondence and assists with the preparation of department promotional materials.


Desired Minimum Qualifications, Education, and Experience include:


• High School diploma is required. An associate degree is preferred.

• Two years of experience in an office environment is required.

• Upholds and supports the Christian, Catholic, Benedictine mission of the University of Mary

• Supports the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities.

• Builds a culture of ready and earnest hospitality in the Saint Gianna School of Health Science and throughout the university, in accord with Saint Benedict’s admonition that all be received as Christ.


Knowledge and Skills Required:


• Possess a working knowledge of MS Office Suite applications including word, excel, mail merge and be able to type a minimum of 50 words per minute; excellent telephone etiquette; and effective verbal and written communication. Demonstrate the ability to work with a diverse student base; knowledge of FERPA and HIPAA rules and regulations regarding student records. Organizational skills are vital as is the ability to work independently. Possess customer service skills, interpersonal skills, and have the ability to work OTCAS, Formsite, and others.
