Office of International Services and Study Abroad

The University of St. Thomas (www.stthom.edu), a private Catholic university, located in Houston, Texas, the nation’s fourth largest city, committed to the liberal arts and to the religious and intellectual tradition of Catholic higher education, is seeking a full-time Operations Assistant as a member of the Office of International Services and Study Abroad.


Operations Assistant in the Office of International Services and Study Abroad assists students with general inquiries related to F-1 and J-1 visa status and study abroad. This position also provides administrative and operational support in event coordination, appointment scheduling, purchasing, mailing, and other routine tasks of the Office.

Essential Responsibilities

Serves as the lead front-line person on routine inquiries and requests from all walk-in visitors, emails, and phone calls
Schedule appointments for advisors to discuss complex student matters
Send routine student communications such as new student welcome emails and event reminder emails
Request rooms, furniture, parking tokens, and other items for office events
Collect required documents from students to request letter, employment authorization and travel signature, and review the completeness of student request documents
Manage office space, supplies, and calendar
Perform routine administrative tasks such as mailing and purchasing.

Qualifications and Requirements

Bachelor’s degree is required
Excellent organizational skills and attention to detail
Excellent verbal and written communication skills
Spanish fluency is highly preferred. Working proficiency in other languages is desired.
Customer service experience with people from diverse background is preferred
