Administrative Assistant

The Center for Irish Studies seeks a part-time administrative assistant that is a dynamic, self-motivated person who will contribute to the administration of our office and add to our office environment and our positive relations with students, faculty, staff, donors, and guests.


This person will be front of house for the Center of Irish Studies and will be responsible for greeting and welcoming our students, the UST community, and the community at large to our building. Additionally, the person will manage the administrative tasks associated with the Center for Irish Studies. These tasks are spread across the following main areas:

Essential Duties:

Organizes and schedules group meetings, creates/sets agendas, records minutes and drafts other related materials.
Assists with preparation and submission of administrative reports – semester course planning and syllabi.
Implement and monitor budget expenditures – such as scholarships, fundraising, study abroad, cultural outreach, Student Irish Cultural Club, and petty cash.
Collaborates and assists with special projects across several offices – the fundraising and event planning for the Annual Irish Gala as well as Center’s Cultural Outreach Program.
Ensures donations from fundraising are properly processed and supporters sent acknowledgement of appreciation.
Works with Marketing Communication (MarCom) and Events to design and produce promotional marketing materials for Center’s events.
Promotes the Center’s various academic programming and cultural events across social media platforms.
Makes travel arrangements for guest speakers and performers for events.
Serves as liaison to staff (Director, Assistant Director, Business and Events Office), campus community (students and faculty) and supporters (guest speakers and donors) to explain and provide assistance on day-to-day operations, events, and facility.
Manages Center’s Library – assists student and faculty patrons, accounts for borrowed items and coordinates with University’s library.
Oversees facilities management functions such as observe/monitor of any maintenance needed to facility, reporting immediately to Director or Assistant Director. Ensures appropriate work orders are submitted and followed up.
Performs other duties as assigned by Director/Assistant Director.


Completion of four-year degree or high school diploma and equivalent administrative support experience
Strong administrative experience in planning, scheduling, and recordkeeping
Knowledge of software and communication applications – Microsoft Office (Word, Excel, SharePoint), PDF, Blackboard, Dropbox, Teams, Zoom, 8×8 phone system, etc.

Working knowledge of office equipment (computer, printers, scanners)

Ability to make deadlines

Ability to communicate and work effectively with all levels of staff

Ability to establish and maintain good working relationships

Desirable skills:


Budgeting experience
Knowledge of Irish history, cultural and politics
