Wedding and Chapel Event Coordinator


The University of St. Thomas (UST), a private Catholic University committed to the liberal arts and the religious and intellectual tradition of Catholic higher education, located in Houston, Texas, near the vibrant central business district, Texas Medical Center, and museum district, is seeking applicants for a part-time (up to 5 hours per week) Wedding and Chapel Event Coordinator. This position reports to the Director of Campus Ministry.


The Wedding and Chapel Event Coordinator supports the mission of Campus Ministry at the University of St. Thomas by welcoming alumni and groups in the Houston community wishing to celebrate liturgies on campus. This position is responsible for the liturgical planning support and event coordination of daily liturgies, weddings and other Chapel events in the Chapel of St. Basil on the University of St. Thomas campus.


Essential duties and responsibilities:

Handle all correspondence and meetings with couples desiring to receive the Sacrament of Matrimony at the Chapel of St. Basil.
Advise couple on matters of liturgical planning utilizing the Order of Celebrating Matrimony, including selections for the rite itself, readings, prayers, music, and wedding customs.
Set and confirm wedding and rehearsal dates and times with Campus Ministry department and Chapel of St. Basil calendar.
Communicate all canonical and ritual norms of the Archdiocese of Galveston-Houston to the couple, as well as to any vendors involved in the ceremony (e.g. photographer, florist, musicians, wedding planner).
Receive and oversee deliveries for the wedding ceremony, such as floral arrangements.
Serve as Sacristan for the wedding, prepare the sanctuary for the wedding rehearsal, restore the sanctuary and furniture after the wedding.
Assist the presiding minister in leading the wedding rehearsal.
Manage reservations of Basilian Room (Welder Hall) and Malloy Boardroom for day-of rooms for bride and groom.
Assist the bride, groom, and bridal party, and direct the wedding liturgical procession.
Create and maintain all forms, formal wedding documents, and planning materials.
Serve as liaison with St. Anne’s Parish Office to record the Sacrament.
Handle all correspondence, coordinate logistics, and serve as primary Sacristan for Baptisms, memorial/funeral Masses, and other Chapel events in the Chapel of St. Basil.
Assist Director and/or Chaplain in coordinating arrangements for Chapel University Masses such as Mass of the Holy Spirit, Alumni Memorial Mass, St. Martin de Porres Feast Day Mass, Feast of St. Thomas Aquinas, Thomistic Studies Faculty and Staff Mass, Peavy School of Nursing Pinning Ceremony, and/or winter and spring Baccalaureate Masses.
Actively contribute towards furthering our Student Affairs Board of Trustee charges to strengthen UST’s (a) Catholic mission and faith integration efforts, and (b) student success efforts.
Perform other duties as assigned.
Qualifications and Requirements:

Bachelor’s degree required.
Incumbent must be a practicing Catholic in good standing with the Catholic Church.
Minimum 2 years of work experience in ministerial activities and event planning.
Experience as a Sacristan at a Catholic parish is preferred.
Excellent communications skills, both verbal and written.
Excellent organization skills and the ability to multi-task and prioritize projects and activities.
Ability to collaborate with other effectively.
Possess the understanding, knowledge, energy, and interest in theology, liturgy, and/or ministry needed to meet the demands of the position.
Must be reliable and dependable to meet the scheduled work hours, which includes occasional evenings and weekends, as well as occasional Sundays, and Holy Days (e.g. Holy Week, Easter, Christmas, and other Holy Days of Obligation).
Demonstrate an intermediate level of proficiency in Microsoft Office suite and other graphic design software (e.g. Canvas, InDesign, Finale, etc.)
Working Conditions

Physical requirements are those of a normal business office.
